Who must complete an I-9 Form?
All persons receiving a Yale paycheck.

What requirements must be satisfied in completing the I-9 Form?
The employee’s identity and employment eligibility. The employee must provide either one document from List A OR one document each for List B and List C. As is the case for anyone completing an I-9, you may not ask to see specific documents.

Who completes the I-9 process?
Either the hiring department or the Office of International Students and Scholars. A hiring unit can give the foreign national the option of having the I-9 completed at the Office of International Students and Scholars, but cannot refuse to complete an I-9 for a foreign national employee. I-9 forms for U.S. citizens and permanent residents must be completed by the department.

What should be done with the completed I-9 Form?
Once complete, the original I-9 should be sent to the Records Office. In addition you should enter the I-9 data into the HR system on the employment information screen (I-9 status and I-9 expiration date.)

When does the I-9 Form need to be updated?
Most foreign nationals will have an expiration date on the I-9 form. If an employee’s work authorization expires, the employee must extend the authorization and present you with a document that shows either an extension of the initial employment authorization or new work authorization. Only then can you re-verify his or her employment eligibility on the I-9 form by completing Section III. You must re-verify the I-9 form no later than the expiration date of the current I-9 form. If the employee cannot provide you with proof of current work authorization, you cannot continue to employ that person.

ALL INTERNATIONAL STUDENTS AND SCHOLARS MUST REGISTER WITH THE OFFICE OF INTERNATIONAL STUDENTS AND SCHOLARS.
